When employees create or change doctor and institution records in Proxima Cloud CRM, changes to some fields need an administrator's approval before they are saved. All such requests are collected in the Data change requests (DCR) app. The administrator reviews each change and approves or rejects it.
DCR collects requests to create or change two types of records:
- HCP: doctor records;
- HCO: institution records.
Which fields need approval is set by the administrator on the Settings tab. See Choosing which changes need approval.
Important: DCR is available only to users with administrator rights. If you don't see it, contact your CRM administrator.
Opening DCR
Open Data change requests (DCR) in one of two ways:
-
click the Data change requests (DCR) tile on the Dashboard;
-
open the main menu (the three lines in the top left corner) and select Data change requests (DCR).
The app has three tabs at the top: Requests, History and Settings. To open this article from the app, click Read more about DCR.
Reviewing requests
The Requests tab shows all requests waiting for review. For each request, the list shows:
- Layout: the record type (HCO or HCP);
- Objects: the name of the record;
- Modifier: the employee who made the change;
- Modified: the date of the change;
- Status: the icons to approve or reject the request.
Filtering requests
Use the fields under the column headers to show only the requests you need:
- Layout: select the record types: HCO, HCP or (Select All). You can type in the search field to find a type faster;
- Modifier: enter the name of the employee who made the change;
- Modified: select the date of the change in the calendar.
Approving or rejecting changes
- Expand the request with the arrow on the left. A table opens with all changed fields: Field, Type (for example, New record), Old value, New value and Status.
- Check that the changes are correct. Then:
- to approve or reject a single field, click the check mark icon or the minus icon in the row of that field;
- to approve or reject all changes in the record at once, click the same icons in the request row.
-
To approve, in the Approve window, check the Current value and New value of each field in the Details section. If needed, add a comment in the Reason field. Then click Approve.
-
To reject, in the Reject window, enter the reason in the Reason field and click Reject.
Important: When you reject a change, the Reason field is required. Explain why the change was rejected, so that the employee can correct it.
The change is approved or rejected, and the processed request disappears from the Requests tab. To close the window without changes, click Cancel.
Viewing processed requests
The History tab shows all processed requests. It has the same columns and filters as the Requests tab.
To see what was decided, expand a request. The Status column shows the result for each field, for example Approved.
Choosing which changes need approval
On the Settings tab, you choose for which fields a change must go through DCR. Changes to the other fields are saved without approval.
- Open the Settings tab.
- In the Objects list on the left, select the record type: HCO, HCP or Vigilance.
- Turn on the toggle next to each field whose changes need approval, and turn it off for fields that don't.
For example, for HCO you can require approval for changes to the name and city, but not to the phone numbers or post code.
For HCP, the fields include the workplace, main specialization, job title, first, middle and last name, and the archive status.
The Vigilance object lists the fields of medical inquiry records.
