CLM (Closed Loop Marketing) presentations are the materials that medical representatives show to a doctor during a visit. Proxima CRM supports several file formats, and the format you choose determines what the system can do with the presentation: whether it can collect detailed statistics, how it behaves on the screen, and what the requirements for the file are.
Prepared CLM presentations are uploaded to the system through CLM Manager. This article describes how to open the application, create folders, upload files, and manage presentations that are already in the system.
For the file formats the system supports and the technical requirements for each of them, see CLM Presentations: Supported Formats and Requirements.
Opening CLM Manager
On the Dashboard, select New CLM Manager in the Applications list on the left, or click the New CLM Manager tile in the Apps section.
The CLM Manager interface
The application opens on the Folders page, which shows the contents of the root group. The menu on the left gives access to all files in the system, grouped by type:
- Folders — the folder structure of your content library.
- All files — every file in the system, regardless of type.
- PDF Presentations — all PDF files.
- ZIP Presentations — all interactive HTML presentations.
- Images — all images.
- Videos — all video files.
For every folder and file, the list shows its name, type, size, the date it was last modified, and the user who modified it. Use the search icon in the upper-right corner to find a file by name.
Creating a folder
Folders organize presentations by product, campaign, or any other logic your team uses.
-
Click + Add in the upper-right corner and select Create a folder.
-
Enter the folder Name and select the product directions (divisions) the folder belongs to. Both fields are required. Product directions determine which teams will see the content of this folder. Click + Add to select more directions, or the minus icon on a chip to remove one.
- Click Add to save the folder.
Uploading a presentation
- Click + Add and select Add a file.
-
Drag the file into the upload area, or click choose a file and select it on your computer. One file can be up to 300 MB.
- Enter the Name that users will see in the system. It can differ from the file name, which is shown next to it.
-
In Located in the following folders, click + Add and select the folders the presentation belongs to. A presentation can be placed in several folders at once. Use the search field or Select all when the list is long.
- Click Save.
After the upload, the system processes the file and generates previews for it. The presentation then appears in the corresponding list — for example, a PDF file appears under PDF Presentations.
Working with uploaded presentations
Select a file in the list to see the available actions.
- Edit — change the display name, replace the file, or change the folders the presentation is placed in.
- Preview — open the presentation to check how it looks.
- Download — save the original file to your computer.
- Archive — hide the presentation from users without deleting it.
Editing a presentation
In the Edit a file dialog you can rename the presentation, change the folders it belongs to, and replace the file itself with Change a file. This is the usual way to publish a new version: the presentation keeps its name and its place in the folder structure, and only the content is updated.
Archived presentations
Archiving is used instead of deletion. When a presentation is deleted, all statistics collected for it are deleted as well, so archiving keeps the material out of daily use while preserving its analytics.
Once a presentation is archived, representatives stop seeing it in the CRM on their tablets after the next synchronization.
An archived presentation is marked with the Archived label and can be restored at any time. The Hide archived toggle above the list controls whether archived items are shown, so turn it on to see only the presentations that are currently in use. ℹ️ Note: before uploading an interactive presentation, make sure the ZIP archive meets the technical requirements: the structure file, the file naming rules, and the slide resolution. A file that does not meet them may upload successfully but fail to open on a tablet.
