You can add links to external resources — a corporate portal, training materials, a regulatory website — to the Home Page and the navigation menu, and decide which profiles see each of them. Users open the resource in one click instead of looking for it themselves.
Where to find the external links directories
- Go to Admin Tool.
- Find Datasets and select the CRM system.
- Scroll down and in the left pane, find the External links group and expand it. It contains two directories:
- External links — the links themselves;
- External link access — which profiles each link is available to.
How it works
Setting up a link takes two steps, and the order matters:
- Create the link in External links.
- Grant access in External link access.
⚠️ Important: A link with no access configured is not shown to anyone. Creating the link alone is not enough.
Enabling or disabling a link and granting or removing access are separate operations that do not affect each other. This lets you hide a link from everyone while a resource is temporarily unavailable, and bring it back later for exactly the same profiles without configuring anything again.
Step 1. Create the link
- Open External links → External links.
- Click Add.
3.Fill in the fields:
- Name — the text users see. Click the translation icon next to the field to enter a separate name for every language supported in your system. If a translation is missing, users see the name in the system default language.
- Description — an internal note about the resource. It also supports translations.
- URL — the full address of the external resource.
- Enabled — turn the toggle on to show the link to users.
- Position — defines the display order of external links by placing prioritized links ahead of unprioritized, alphabetically sorted ones, and its result is directly visible on the Home Page and in the Burger Menu.
4. Click Save.
Name and URL are mandatory. ID and Modified (UTC time) are filled in by the system and cannot be edited.
ℹ️ Note: Links without a position are sorted by name, so their order differs from language to language. If a specific order matters, set an explicit Position for those links.
Step 2. Grant access to profiles
Specify which profiles the link is available to. One link can be granted to several profiles, and one profile can have access to several links.
- Open External links → External link access.
- Click Add, select the External link and the Profile, and save.
- Repeat for every profile that needs the link.
Removing access for one profile hides the link from that profile only — nothing changes for the others.
Turn a link off and on
Turn the Enabled toggle off to hide a link from all users at once. The access you configured is kept, so when you enable the link again it reappears for exactly the same profiles with no extra work.
Use this when an external resource is temporarily unavailable. Do not remove access for that — it is a different operation, and you would have to configure everything again later.
Delete a link
Deleting a link also deletes all its access records. Deleting a profile removes that profile's access records automatically.
What users see
A user sees a link when both conditions are true: the link is enabled, and their profile has access to it.
Links appear as the last block in two places:
- on the Home Page, after all services;
- in the navigation menu, after all navigation items, as a separate group.
The order of the services themselves does not change, and the set of links is always the same in both places. All links are shown with the same system icon. A click opens the external resource in a new browser tab.
Limitations
- Addresses are not verified. The system does not check whether the address works. If the resource has moved, the user sees the external site's own error page.
- No data is passed. The system sends no information about the user to the external resource and performs no sign-in.
- Resources with their own sign-in. If the external resource requires authentication, the user lands on its login page. There is no one-click access in that case, and users tend to read it as a problem with the CRM — keep this in mind when you add such a link.
